Vayancy LLC ("we," "us," or "our") operates the website www.vayancy.gr. This policy outlines our practices regarding the collection, use, and protection of your personal information. Although Vayancy LLC is a US-based entity, our properties, management, and data hosting are located in Greece. We process all personal data in accordance with the EU General Data Protection Regulation (GDPR).
1. Information Collection and Purpose
Through our website and the MotoPress Hotel Booking Plugin, we collect information necessary to facilitate your villa reservation and improve our services. This includes:
- Identity Information: Full name and passport or ID details (required for mandatory reporting to Greek tax authorities/AADE).
- Contact Information: Email address and telephone number.
- Booking Details: Dates of stay, villa selection, and guest count.
- Special Requests & Notes: Any specific information you provide regarding your stay (e.g., arrival times, dietary preferences, accessibility needs, or special occasions).
- Feedback & Reviews: Information you provide in post-stay surveys, feedback forms, or testimonials regarding your experience.
- Technical Data: IP address and browser type, collected automatically via our hosting provider for security and site optimization.
The primary purpose of this collection is to fulfill your booking, provide a personalized guest experience, and comply with Greek statutory regulations.
2. Data Storage and Processing Location
Your personal data is primarily stored and processed in Greece.
- Hosting: Our website and database are hosted by myip.gr on secure servers located in Greece.
- Data Residency: All guest information managed by the MotoPress system resides on these local Greek servers.

3. Payment & Tax Obligations
3.1 Role of the Company and Booking Agent Status
Vayancy LLC (the "Company") operates as a professional marketing and collection agent for independent property owners. When you book a property through this website, you are entering into a direct rental agreement with the Property Owner. The Company acts solely as a facilitator/collection agent to process payments and manage the booking. The Company is not the provider of the accommodation and assumes no liability for the services provided by the Owner.
3.2 Invoicing and Tax Responsibility
The total price consists of the accommodation rate (payable to the Owner) and the Company’s service fee. The Guest acknowledges that the official tax document for the accommodation service is issued by the Property Owner. In accordance with Greek and International tax laws, the Company provides its marketing services via the "Reverse Charge" mechanism. Local VAT on the stay is the sole responsibility of the Owner to remit to the Greek authorities.
3.3 Climate Crisis Resilience Fee (Law 5073/2023)
A mandatory nightly fee applies to all stays. This fee is a government tax and is not included in the rental price. For regulatory reasons, it must be paid locally in cash or via credit card directly to the Owner upon arrival. The Owner is responsible for issuing the statutory receipt for this fee.
4. Data Security and Safeguards
We prioritize the security of your data by implementing industry-standard technical and organizational measures. Our website is protected by SSL (Secure Sockets Layer) encryption provided by myip.gr to ensure that data transmitted between your browser and our server remains private.
While we employ commercially acceptable means to protect your personal information, please note that no method of transmission over the internet is 100% secure. We maintain strict internal access controls to ensure your data is only visible to authorized personnel and the specific Property Owner associated with your booking.
5. Data Protection Rights (GDPR)
Under the GDPR, you have the following rights regarding your personal information:
- Right of Access: You may request a copy of the personal data we hold about you.
- Right of Rectification: You may request that we correct any inaccurate or incomplete information.
- Right of Erasure: You may request the deletion of your data, provided it is no longer required for legal or tax reporting purposes in Greece.
- Right to Object: You may object to the processing of your data for marketing purposes.
To exercise these rights, please contact us at the email address provided below.
6. Third-Party Service Providers
To ensure a functional booking experience, we share your data with a limited number of essential third parties:
- Property Owners: We share your identity, contact details, and special requests with the villa owner to fulfill your rental contract.
- Hosting & Technology: Our infrastructure is maintained by myip.gr (Hosting) and managed via the MotoPress Hotel Booking Plugin.
- Payment Processors: If you pay online, your financial data is processed by secure, PCI-compliant third-party gateways (such as Stripe, PayPal, or Greek banking portals). We do not store your full credit card details on our servers.
